The Toppers Approach (“we”, “us”, “our”) is committed to protecting your privacy. This policy explains what personal data we collect, why we collect it, and what rights you have.
WHO WE ARE
We are the data controller for the personal data described in this policy.
WHAT WE COLLECT
When you contact us, request a free audit, or book a call, we may collect:
Your name
Your email address
Your phone number
Your company name and website
Information about your business, such as monthly revenue, industry and email platform
Anything else you choose to tell us
When you visit our website, we may also collect technical data including your IP address, browser type, device type, and the pages you view.
If you become a client, we will process data within your own email marketing platform on your behalf. In that case you remain the data controller and we act as your data processor, under a separate agreement.

To respond to your enquiry and carry out a free audit you have requested
To arrange and hold calls with you
To provide our services if you become a client
To send you information about our services, where you have agreed to receive it
To improve our website and understand how it is used
LEGAL BASIS
We process your data on the following bases:
Legitimate interests: responding to enquiries and running our business
Contract: where we need your data to provide services you have engaged us for
Consent: for marketing emails, which you can withdraw at any time
Legal obligation: where we are required to keep records
HOW LONG WE KEEP IT
Enquiries that do not become clients: up to 24 months.
Client records: for the duration of our relationship and up to 6 years afterwards, to meet legal and accounting obligations.
You can ask us to delete your data sooner.
WHO WE SHARE IT WITH
We do not sell your data. We share it only with service providers who help us run our business, including:
Google Workspace (email and documents)
HubSpot (customer relationship management)
Calendly (call bookings)
Klaviyo (email marketing)
Meta (advertising)
Asana (project management)
These providers process data on our behalf under their own data protection terms. Some may process data outside the UK; where they do, appropriate safeguards are in place.
COOKIES
Our website uses cookies to function properly and to measure how it is used. This includes analytics and advertising cookies from Google and Meta. You can control cookies through your browser settings.
YOUR RIGHTS
Under UK GDPR you have the right to:
Access the personal data we hold about you
Ask us to correct inaccurate data
Ask us to delete your data
Object to or restrict how we process it
Request a copy of your data in a portable format
Withdraw consent to marketing at any time
Complain to the Information Commissioner’s Office
